1. Overview
This Privacy Policy explains how Book In Time collects, uses, stores, and protects personal data when someone creates an account, manages a business, or books through a Book In Time-powered booking page.
For customer booking data, the tenant using Book In Time remains responsible for its customers, notices, and lawful use of that data. Book In Time acts primarily as a software provider and processor on the tenant’s behalf. For our own account, billing, support, and security operations, Book In Time acts as controller for the data it needs to run the service.
2. Information We Collect
- Account details such as name, email address, login details, and business profile information.
- Customer and booking data entered by the tenant, including appointments, notes, services, contact details, and booking history.
- Technical and usage data such as device type, browser, IP address, pages used, and security logs.
- Billing and subscription information linked to Stripe checkout and subscription events.
3. How We Use Information
Book In Time does not sell customer data and does not use tenant customer lists for its own marketing.
- To provide booking pages, reminders, customer communications, admin tools, and reporting.
- To process subscriptions and payments through Stripe.
- To protect the platform, prevent abuse, troubleshoot problems, and maintain service reliability.
- To provide support, maintenance, and product improvements.
4. Tenant Responsibility and Customer Ownership
Each tenant is responsible for managing its own customers, lawful basis for processing, communications, exports, backups, and any policies shown to customers on its own booking page.
Your customers remain your customers. Book In Time does not claim ownership of tenant customer data and does not share it with other tenants or competitors.
Tenants are responsible for keeping customer records accurate and for managing deletion, correction, export, and retention requests received from their own customers.
5. Service Providers and Infrastructure
Book In Time relies on third-party infrastructure and service providers to operate the platform. These providers process data only to deliver their services to Book In Time and its tenants.
Google’s Firebase Data Processing and Security Terms describe Google’s role in processing Customer Data for Firebase services. Google Cloud documentation also explains administrative access controls such as Access Transparency for certain services. Stripe’s Privacy Policy explains that Stripe may act as controller or processor depending on the service and that merchants remain responsible for their own end-customer privacy notices.
- Google Cloud / Firebase: hosting, authentication, database, storage, and operational infrastructure.
- Stripe: subscription billing, payment processing, invoicing, and payment events.
- Email and messaging providers used to send transactional emails and reminders.
6. Limited Internal Access
Book In Time may access account or database information only where reasonably necessary for support, security, maintenance, incident response, migration help, fraud prevention, or platform development and testing.
That access is limited to what is needed for the task and is not used to market to tenant customers or disclose their data to other businesses.
8. Data Retention
Tenant customer data is managed by the tenant through the tools available in the app, including export and backup features. Tenants are responsible for managing their own retention approach for customer records.
Book In Time may suspend inactive tenant accounts after 6 months of no activity and may permanently delete inactive tenant accounts and their data after 8 months of no activity, unless a longer retention period is required for billing, legal, fraud-prevention, security, or backup recovery purposes.
We may retain limited operational, billing, audit, and security records where required to run the service or comply with law.
9. Security
We use commercially reasonable technical and organisational measures to protect data against unauthorised access, loss, misuse, and alteration. No internet service can promise absolute security, so tenants should also maintain their own good security and backup practices.
10. Rights and Requests
If you are a tenant and want to contact Book In Time about privacy or your own account data, email admin@bookintime.app.
If you are a customer of a tenant using Book In Time, please contact that tenant first for requests relating to bookings, records, corrections, exports, or deletion. The tenant controls that customer relationship and remains responsible for responding to those requests.
